What to do when you are sick?

Everyone can get sick. What matters? That you report it correctly and on time. This allows us to follow up on your absence and handle the administration properly.

  • Step 1: Notify your supervisor

    Call as soon as possible and no later than 1 hour before your shift.
    Do this personally and by phone. No WhatsApp or text message.
    Can’t get through? Leave a clear voicemail with:

    – Your name
    – Reason for absence
    – How long you expect to be absent

  • Step 2: Send in your doctor’s certificate on time

    Send a valid certificate within 48 hours via one of these channels:

    – Email: pz@group-f.be
    – Mail: Group-f, Prins Boudewijnlaan 9, unit 11, 2550 Kontich
    – Group-f app (follow instructions in app) (coming soon)

    The certificate must at least state:

    – Start and end date of your incapacity
    – Whether you may leave your home or not
    – Contact details of the treating doctor

    Note: a certificate stating “consultation only” is not considered sick leave. You must take vacation or unpaid leave.

  • Step 3: Let us know how long you’ll be absent

    Call your supervisor again once you know the duration.
    Preferably before 4 p.m. on the day of your doctor visit.

  • Step 4: Be available for control

    You must be available for a visit by the control doctor.
    Only leave home if allowed on your certificate.

  • Extra for those in the control group

    – Call HR after each doctor’s visit: 03 230 72 20.
    – HR will schedule an appointment with the control doctor (Mediwe).
    – You’ll receive appointment details (address, time, doctor) by SMS.

    Important:

    – Don’t go to the control doctor? You lose your right to guaranteed pay for that period.
    – In the control group and don’t call HR? Same consequence.

  • What if you’re late or forget something?

    – Late report = loss of pay that day
    – Missing or incorrect certificate = no guaranteed pay from day 1
    – Not available for control = no guaranteed pay for the full period

Summary – what to do?


  1. Call your supervisor yourself (no later than 1 hour before work)
  2. Send your certificate to HR within 48 hours
  3. Call back with info on absence duration
  4. Stay available for control
  5. If in control group: call HR and go to control doctor
